Protection of personal data

Kazerne Dossin undertakes to only process personal data in accordance with the provisions of the General Data Protection Regulation EU 2016/679 (GDPR), which has been in force since 25 May 2018.

In concrete terms, this means that:

  • Kazerne Dossin collects personal data for the following purposes:
    • to provide a service or to prepare or implement a contract (e.g. online tickets).
    • to provide information about the operation, services, special offers and future activities of Kazerne Dossin (e.g. newsletters, reservations, visits and activities).
    • to ensure the functionality and security of the institution.
    • to draw up statistics (e.g. visitor numbers).
  • The data will not be retained any longer than necessary.
  • The data will not be passed on to third parties.
  • Users may have access to the data regarding them at any time and, in particular, may request the correction or deletion of their data.
  • Technical and organisational security measures are in place to protect the data from unauthorised processing or accidental damage.

If you are not satisfied with the way in which we process your data, you also have the right to submit a complaint to the Data Protection Authority.

Subscription to a newsletter

The e-mail address you register with us will only be used, with your consent, to provide you with information about the operation, services, collections and future activities of Kazerne Dossin. It will also be used for statistical purposes.

This data is stored in a secure database.

You may withdraw your consent at any time, and can unsubscribe by clicking the unsubscribe link at the bottom of each newsletter.

Contact via e-mail or private message via Facebook / Messenger or other social media networks

Depending on the content, an e-mail that is sent to Kazerne Dossin will be saved in the e-mail boxes (and corresponding contact lists) of the museum employees who are authorised to reply to you, and will ultimately be transferred to the company archives or to a secure database of Kazerne Dossin.

Private messages that are sent via Facebook or other digital channels can also be forwarded to the e-mail address of Kazerne Dossin by the media manager if they require an official reply.

Personal data is only collected and processed in order to respond to the submitted request for information.

Voluntary applications or service offers

Personal data that is sent in the context of spontaneous job applications (including requests for traineeships) or service offers addressed to Kazerne Dossin will only be accessed and stored (on a secure server and/or filed in print in a locked cabinet) by those employees of Kazerne Dossin who are authorised to handle this information. The documents will be retained for the duration determined by the relevant department, and will then be deleted.

Invoicing of services, deliveries or work

The data that you provide to Kazerne Dossin when invoicing a service, making a delivery or carrying out work is accessible only to the relevant departments within the institution. The data will be retained for a period of 10 years if it is part of the supporting documents, or for the minimum period for the retention of documents required by law, whichever period is the longest. Upon the expiry of this period, the data will be destroyed, except in the case of services relating to collections or buildings that, according to Kazerne Dossin, must be retained in their archives for historical purposes.

Contractual relationships

If Kazerne Dossin processes your personal data for the preparation of a contract or for the provision of a service, the specific conditions for this processing will be stated on the documents used.

The Kazerne Dossin archives

As a Flemish institution, the mission of Kazerne Dossin is to improve and document the collections in its archives. It is therefore obliged to safeguard these archives. In this context, personal data may be stored over the long term within the institution, and may be passed onto third parties in accordance with the law while maintaining the correct balance between data protection and research interests, with a view to historical or scientific research. The data of persons requesting information that is stored in the archives will be retained according to the applicable guidelines, and will only be accessible to those employees authorised to respond to the requests for information.
